Privacy Policy
What Ortivs holds, what it does with it, where it lives, and who else ever sees it.
Scope
This policy describes how Ortivs Intelligence, LLC (“Ortivs,” “we,” “us”) handles information in the Ortivs platform at app.ortivs.ai. Ortivs is a business tool: the information in it belongs to the organization using it, and this policy explains exactly what we hold and what we do with it.
What we hold
- Sign-in identity. Name and email address from your Microsoft Entra ID account, used to authenticate you and attribute your actions. We never see your password.
- The operating record. The business information authorized users place in the platform: relationships, contacts, engagements, work items, decisions, commitments, time entries, and billing records.
- QuickBooks connection data. If an authorized person connects QuickBooks Online: the company identifier and company name, the customer and service-item references needed to create invoices, and the OAuth tokens Intuit issues. We never see your Intuit password.
- Operational logs. Standard server logs and health telemetry needed to run and secure the Service.
What we do with it
One thing: operate the Service for you. We present your records to your authorized users, carry out the actions they instruct (such as creating an invoice in QuickBooks), and keep the platform secure. We do not sell data. We do not advertise. We do not use your data for any purpose outside the Service.
AI processing
Ortivs includes AI assistance that reads your records to answer questions and draft proposed entries, which take effect only after a person approves them. The model runs as a deployment inside our own Microsoft Azure subscription. Your data is not used to train models, is not shared between customers, and is not sent to consumer AI services. QuickBooks credentials and tokens are never provided to the model.
Where it lives
Your data is stored in Microsoft Azure, in the East US 2 region, encrypted in transit (TLS 1.2 or higher) and at rest. QuickBooks OAuth tokens are stored under row-level access controls; the platform’s own third-party credentials are held in Azure Key Vault. Access to production systems is restricted to authorized operators of Ortivs Intelligence, LLC.
Retention and deletion
We keep your records for as long as your organization uses the Service, plus the time needed for backups to age out. Disconnecting QuickBooks stops our access to it, and we delete the stored connection tokens on request. On termination, we return or delete your organization’s records on request.

To access, correct, export, or delete information — or to ask anything about this policy — contact us at ortivs@ortivs.ai. Authorized users can view and correct the operating record directly in the platform.
Changes
When this policy changes, we update this page and its effective date. Material changes are communicated to the organizations using the Service.
